The Comments tab is where users add information about shipments in the user interface (UI). It is available under the following tabs in the Shipments view:

  • Active

  • Inspection

  • Preparation

Accessing the Comments tab:

To access the Comments tab, select a shipment of any status (except Draft) under one of the tabs listed above, and select the Comments tab at the far right end:

The Read access to the Shipments view gives the user permission to:

  • View comments

  • Add a new comment in the Add Comment box and press the Post Comment button to publish.

  • Add attachment(s) to a comment by pressing the Attach File button.

Restrictions:

  • It is not possible to post new comments or edit existing comments in closed shipments in the Closed (Shipments) tab as shown below:

Using the Comments tab

Editing comments:

  • All users can edit their comments.

  • When a comment is edited, the user interface (UI) displays the identity of the user who made the last update and when the update was made.

  • Admin users can edit comments made by other users.

Deleting comments

  • All users can delete their comments.

  • Admin users can delete comments made by other users.

In a comment, the following applies:

  • The name of user and timestamp is displayed when a new comment is created.

  • A maximum number of comments per shipment is limited to 1000 comments.

  • A single comment is limited to 10.000 characters.

  • A single comment is shortened if it exceeds 500 characters:

    • The Show more function can be used to display all of the comment.

Formatting a comment:

  • Comments are written in a rich text editor that includes the following formatting:

    • Numbered bullets with sub-bullets

    • Plain bullets with sub-bullets

    • Bold font

    • Italic font

    • Strike through

    • Embedded link

Attachments in comments:

  • Are limited to a maximum file size of 5MB (megabytes) in a single attachment.

  • Are limited to a maximum of 10 attachments for a single comment.

In Account Admin there is a SCM Setting that allows customers to decide if anonymous users have access to public comments on a shipment via Share shipment link. The SCM Setting, Access to comments via share shipment link, can be set to No access or Read and write. The default setting is No access.

SCM USERS

Read and write:

When the setting is set to Read and write, SCM users are able to post internal and public comments. The public comments are visible to SCM users and anonymous users via Share shipment link. Internal comments are only visible to SCM users.

Two Post Comment buttons are available for SCM users. The Post Internal Comment button is for posting internal comments and Post Public Comments for posting public comments. See highlighted buttons on the images below:

Internal and public comments are differentiated by colour as shown below. Gray is for internal comments (right indentation) and light blue for public comments (left indentation):

Comments posted by Anonymous users are displayed as public comments for SCM users. SCM users will see the public comments created by Anonymous users as (see image below):

  • Anonymous user wrote a public comment – {some date}

or

  • Anonymous user is replaced with additional information the Anonymous user posted with the comment.

ANONYMOUS USERS

When this setting is set to Read and write, Anonymous users can view the Comments tab in a shipment they have access to via Share shipment link. The Anonymous user can read public comments created by SCM users on the shipment. The public comments created by SCM users are labeled with user ID, including the date and time when the comment was created as shown on the image below:

If the comment is edited by SCM user, the Anonymous user will see a subtitle in the comment stating what user ID updated the comment and when.

The Anonymous user is also able to post a public comment. The Anonymous user can choose to post a comment anonymously, or by optionally entering additional details with the comment, such as name, company, and email address. If the Anonymous user does not include any details the public comment will be labeled in the shared shipment view as Anonymous user wrote a comment – {some date}. If the anonymous user includes additional details those details will be displayed in the title instead of Anonymous user. See examples of both instances in the image below:

Anonymous users are able to add up to 10 attachments per public comment, same as SCM users, but they cannot edit or delete their comments nor comments from other users. See an example in the image below:

No access

 When this setting is set to No access, Anonymous users are not able to see the Comments tab in a shipment via the Share shipment link. The SCM user is then the only user able to post internal comments, and the functionality and look is the same as mentioned in the chapters Accessing the Comments tab and Using the Comments tab above.

If public comments exist on a shipment because the setting was initially set to Read and write and later changed to No access, the SCM user will still be able to view the public comments on that shipment even though the user is no longer able to post any new public comments.

Audits

Changes in comments in the Comments tab are tracked in the internal system. The following actions are audited:

  • Add comment

  • Edit comment

  • Delete comment

  • Add attachment

  • Delete attachment

  • No labels
